Rock Concert Tour: 4 Trucks, 5 Cities, 7 Days - Zero Delays
A rock band touring Europe. 5 cities over roughly 7 days. Tallinn, Riga, Kaunas, Vilnius, Warsaw. Every night a show - every morning the trucks roll to the next city. We supplied 4 dedicated trucks carrying the entire production: stage construction, sound systems, lighting rigs, and instruments. Two drivers per truck. No margin for delay - if the trucks are late, the concert doesn't happen.
What happened
The tour manager needed a logistics partner who could guarantee delivery to each venue on time - not a day late, not an hour late. The schedule was tight: show ends at 11 PM, crew breaks down the stage overnight, trucks load by 6 AM, drive to the next city, arrive by 2 PM for setup, soundcheck at 5 PM, doors at 7 PM. Any failure in this chain cancels a show and costs the promoter hundreds of thousands.
What made it difficult
- 14 trucks must arrive simultaneously - stage can't be built without all 4 loads
- 2Overnight loading after each show - 6-hour window between breakdown and departure
- 3Cross-border routing: Estonia - Latvia - Lithuania - Poland, each with traffic patterns
- 4Heavy, oversized stage elements - loading order matters (last loaded = first unloaded)
- 52-driver crews on all 4 trucks - 8 drivers coordinated across the ~7-day tour
How we handled it
We supplied 4 dedicated trucks for the entire ~7-day tour - same vehicles, same drivers, same loading protocol at every venue. Each truck had a fixed cargo assignment: Truck 1 - stage structure, Truck 2 - sound system, Truck 3 - lighting rigs, Truck 4 - instruments and backline. Two drivers per truck ensured continuous movement within tachograph rules. We had standby drivers pre-positioned in Riga and Warsaw, but never needed them. One dispatcher managed all 4 trucks from our Riga office with live GPS. Every arrival was on time. Every show happened.
