Private Event Logistics: Full Production for a 500-Guest Celebration
A large private birthday celebration for 500 guests at a venue outside Riga. Full production needed: stage, professional sound system, concert-grade lighting, LED screens, and custom decor elements. Two trucks, one day for setup, event in the evening, breakdown overnight. We treated it with the same precision as a concert tour.
What happened
The client wanted a concert-quality experience at a private venue that had no permanent infrastructure - no stage, no rigging points, no loading dock. Everything had to be brought in, built up, and removed within 48 hours - leaving the venue exactly as it was before.
What made it difficult
- 1No loading dock - trucks unloaded on grass with temporary ground protection
- 2Narrow access road to the venue - truck approach route planned in advance
- 3All equipment rented from multiple suppliers - coordination of pickup and return
- 4Same-day setup: arrive 8 AM, event starts 7 PM - 11 hours for full build
- 5Overnight breakdown: event ends midnight, venue must be clear by 8 AM next day
How we handled it
We collected equipment from 3 rental companies the day before, loaded both trucks with a planned unloading sequence (stage first, then sound, then lighting, decor last). Temporary road plates laid for truck access across the lawn. Unloading started at 8 AM sharp. The production crew built while we managed truck positioning and equipment flow. By 6 PM everything was tested. After the event, our trucks were back at the venue by 1 AM for overnight breakdown. By 7 AM, both trucks were loaded and rolling back to return equipment to suppliers.
